Terms of Service

These Terms of Service ("Terms") govern your access to and use of scanbill.co and the ScanBill invoice extraction service (the "Service"), operated by ScanBill ("ScanBill", "we", "us"). By creating an account or using the Service, you agree to these Terms. If you don't agree, don't use the Service.

1. Service description

ScanBill lets you upload invoices, receipts, and bills (PDF, JPG, PNG, HEIC) and automatically extracts structured data — vendor, dates, amounts, tax, category, and line items — using AI. You can export extracted data to Excel or send it to a connected Google Sheet, and review analytics on your spending in the Reports section.

Extraction is performed by an AI model and, like any automated system, is not guaranteed to be 100% accurate. You are responsible for reviewing extracted data before relying on it for accounting, tax, or other business purposes.

2. Free and paid plans

ScanBill offers the following plans, each with a monthly invoice-extraction limit:

  • Free — 10 invoices, lifetime, at no cost.
  • Starter — 150 invoices per month, paid monthly.
  • Growth — 400 invoices per month, paid monthly.
  • Pro — 1,200 invoices per month, paid monthly.

We may change plan names, pricing, or limits at any time. If we materially change a paid plan you're subscribed to, we'll give you reasonable notice before the change takes effect on your next billing cycle.

3. Payment terms

Paid subscriptions are billed monthly through Paddle, our payment processor and merchant of record. Paddle handles checkout, card processing, invoicing, and tax collection on our behalf; by subscribing, you also agree to Paddle's own terms for the payment.

  • Subscriptions renew automatically each billing period until cancelled.
  • You can cancel anytime from Billing in your dashboard; you'll keep access to your paid plan until the end of the current billing period, with no further charges after that.
  • Fees are non-refundable except where required by law or stated otherwise at the time of purchase.
  • Using more invoices than your plan's monthly limit may incur an overage charge, shown at checkout or in your plan details.

4. Acceptable use

You agree not to:

  • Upload files you don't have the right to process, or that contain unlawful content.
  • Use the Service to violate any law, or to infringe anyone else's rights.
  • Attempt to bypass plan limits, reverse-engineer the Service, or interfere with its normal operation.
  • Use automated means to access the Service beyond what we provide (e.g. scraping, unauthorized bots).
  • Share your account credentials or resell access to the Service without our written permission.

We may suspend or terminate accounts that violate these rules.

5. Your content

You retain ownership of the files you upload and the data extracted from them. You grant ScanBill a limited license to process, store, and transmit that content solely to provide the Service to you (including sending it to Google Gemini for extraction, and to a Google Sheet you connect, if you choose to use that feature). We do not use your invoice content to train our own models.

6. Limitation of liability

The Service is provided "as is" and "as available," without warranties of any kind, express or implied. We do not warrant that extraction results will be accurate, complete, or error-free.

To the maximum extent permitted by law, ScanBill and its team will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or business opportunity, arising from your use of (or inability to use) the Service. Our total liability for any claim relating to the Service will not exceed the amount you paid us in the 12 months before the claim arose.

Nothing in these Terms limits liability where it cannot legally be limited.

7. Account termination

You may delete your account at any time from Settings → Danger Zone, which permanently removes your data as described in our Privacy Policy.

We may suspend or terminate your account if you violate these Terms, misuse the Service, or if required by law. Where reasonably possible, we'll notify you before doing so.

8. Changes to the Service or these Terms

We may update these Terms from time to time. If we make material changes, we'll notify you by email or through the Service before they take effect. Continuing to use the Service after changes take effect means you accept the updated Terms.

9. Governing law

These Terms are governed by the laws applicable in the jurisdiction in which ScanBill is established, without regard to conflict-of-law principles. Any disputes arising from these Terms or the Service will be resolved in the courts of that jurisdiction, unless applicable law requires otherwise.
